Personal projects
A personal project is yours alone. You use it for work where the producer isn't on CrewShift: you log your own hours, CrewShift works out the pay from your rate and work rules, and you invoice the client yourself. Nobody else sees it.
Starting a personal project
Open the Projects tab and tap New personal project. Give it a name and your role, then set your day rate (or your hourly rate, if you're paid by the hour). The rate is prefilled from your profile, and changing it here leaves your profile alone.
Under Who you're billing, fill in the client's name, billing address and, if you have them, their VAT and company registration numbers. They appear as the recipient on your invoice. You can add them later, but you need at least the client's name before you can create an invoice.
You also pick the work rules, and you can add gear from your inventory to bill on the project.
Logging a day
There are two ways to get a day in:
- Clock in live. Open Today, pick the project and clock in and out the same way as on any shoot. See Clocking in and out.
- Log a past day. Open the project's Hours & pay tab and tap Log a day. Enter the date, start and end time and any lunch break. You can add breaks and expenses after saving.
You are your own approver, so there's no Submit step and no producer sign-off. As soon as you clock out or save a logged day, it shows as Approved under Ready to invoice. You can still edit or delete a day until it's on an invoice.
Invoicing your client
In Hours & pay, tick the days under Ready to invoice and tap Generate invoice. On a personal project the invoice is created ready to send, with no approval step. It needs your client's name and your own business details. If something's missing, nothing is generated and CrewShift shows what to fill in.
Download the PDF and send it to your client yourself. When the money lands, open the invoice and tap Mark as paid. If you've connected Moneybird or e-Boekhouden, it's marked paid automatically once your bookkeeping registers the payment.
A receipt that turns up after an invoice is paid goes on a supplementary invoice.
Work rules
A personal project runs on Fijn Weekend, the fixed standard for commercials, or on Custom rules. With Custom you choose how you're paid: Daily + overtime, Flat per day or Hourly, and you can adjust the rest of the rules. To change them later, open the project, tap the work rules summary under the title and then Edit rules. For what each rule does, see How pay is calculated.
Deleting a personal project
Open the project and tap Delete project at the bottom of the overview. This permanently removes the project and every day logged on it.
Once a project has an invoice, even one you discarded, it can't be deleted. The invoices are kept for your tax records.
